What is a Company?

Companies (also referred to as corporate accounts) are special accounts representing a group of users that belong to the same organization. Users of a company are also called members of the company. The Company Administrator has administrator rights on the company's profile and its members. Company users are given Subscription Keys authorizing them to create an Evatel account, subscribe to service packages and have their account charges billed to them or to their company. Each Evatel system comes with a special company account called Public Service to enable people from the public (or company employees if the system is installed as an enterprise solution) to subscribe to Evatel services. By default, the System Administrator is also the company administrator of this account.

The Companies View

To access the Companies view, click on the Companies  button in the Web Portal toolbar. The Companies page opens and lists the registered companies on the system. In this section, you can add a new company account, change the  or remove an existing one.  All changes are saved immediately after each operation.

The Companies view provides the following information organized in columns for each company:

  • Company Name: the company account name. Click the company name to edit the company profile and other company parameters.
  • Packages: click packages to view and manage the service packages used by the company.
  • Keys Used: the number of company keys already assigned to users. Click number to view and manage the company's used subscription keys.
  • Keys Unused: the number of keys still available (unused) in the company account (can be assigned to new users). Click number to modify it (add or remove subscription keys).
  • Perm: the Perm link to view and edit the company's call permissions.
  • Reset Pwd: this is the Clear link to reset the Company Administrator's password and send a new one by e-mail.
  • Remove: the Remove link to delete the company account from the system.
Click on Next or Previous to browse through the list of companies.

Sorting the List of Companies

You can view the list of companies sorted by Company Name or Number of Keys Used or Unused.
  • Click on the column title Company Name to display the list of companies in ascending or descending alphabetical order
  • Click on the column title Keys Used to sort the list of companies based on the number of keys already assigned to users
  • Click on the column title Keys Unused to sort the list of companies based on the number of keys which are still available and ready to be assigned to new users

Clicking the column heading again will reverse the sorting order.

Creating New Company Accounts

A new company account requires at least a name, an administrator, a telephony provider to carry its telephone calls, subscription keys, service packages, and a least one DID assigned to the main public services: the virtual receptionist Virtual Receptionist or the virtual assistant Evatel. Here are the steps to create a company account:
  1. Click the Companies  button on the Web Manager toolbar to open the Companies page.
  2. Click Add New Company on the Companies page to launch the New Company Account Setup.
  3. Fill-in all the required or the new company registration as follows (Fields marked with a star * are required):
    • In the General Information section:
      • Enter the Company Name
      • Select the First Language used by the company, and the Second Language if applicable.
      • Select the Telephony Provider to be used as the primary telephone gateway or company PBX used to handle the company's telephone calls. Go to Telephony Providers for more.
    • In the AdministratorInformation section:
      • Enter the Company Administrator Name
      • Enter the Company Administrator E-Mail Address
      • Enter the Company Administrator Phone Number
    • In the  Services & Phone numbers section:
      • Select the services to be used by the company, then enter the phone numbers assigned to each of these services if available. The two commonly offered services are the virtual assistant and the -->Virtual Receptionist services.
    • In the Keys section:
      • Enter the Number of Subscription Keys assigned to the company account for its users.
    • In the Packages section:
      • Check the OK field for each Service Package to be assigned to the company account.
    • In the Call Permissions section:
      • Click the Set Company Call Permissions link to define specific call permissions for the company. By default, the company call permissions are identical to the system call permissions. Go to System Call Permissions for more.
  4. Click Continue to submit the information for the new company account.
IMPORTANT NOTE: Make sure that the interconnection and call routing settings between the company telephone system and the Evatel are correctly configured and tested to enable Evatel to accept and forward calls to company users and services using the selected telephony provider. An e-mail message containing the new company administrator Username and Password will be sent to the e-mail entered for the company administrator.

Resetting the Company's Administrator Password

As a system administrator, you can reset the password of any company's administrator from the Companies  view as follows:
  • Click the Clear link in the Admin Pwd column corresponding to the company for which you want to reset the admin password.
  • A confirmation dialog window opens. Click OK to confirm the password reset.
  • A new company administrator password will be sent to the company administrator's email.

Editing the Company Profile

As the system administrator, you can edit the account profile of an existing company to change its call permissions, the number of its subscription keys, its telephony provider, its default service packages, its languages, administrator information, etc. Note that when editing a company profile, you are inside a company administrator session where you can view and edit a number of other company account information parameters such as DIDs, Virtual Receptionist service, etc. Go to Starting a Company Admin Session for more.
Here is how you can access and edit the Company Profile:
  • From the Companies  view, click on the Company Name you want to edit. A Company Profile page is displayed.
  • Modify the information about the selected company as needed:
    • Service packages
    • Subscription keys
    • Call Permissions
    • Telephony Provider
    • Company Operator
    • Company Languages
  • Click Submit to confirm the changes when you are done.

Starting a Company Admin Session

As the system administrator, you can start a company admin session for any company account to view and edit company information such as call logs, DIDs, Virtual Receptionist service, etc. This is mainly to enable you to provide remote service management for companies that require your assistance. Here is how you can start a company admin session:
  • From the Companies  view, click on the Company Name to launch a company admin session for the selected company. A Company Profile page is displayed as the first page of the session.
  • Click the buttons on the Web Portal toolbar to access different company admin pages to view and edit company information. Go to Company Admin Web Portal Overview for more.
  • Click Close when you are done to end the company admin session and go back to your system admin session.

Changing the Company Call Permissions

As the system administrator, you can edit the call permissions of any company account to specify which type of calls the company users are allowed to make or not make. The company call permissions are a subset of the system call permissions which you can edit from Call Permissions page. Go to Call Permissions for details. By default, calls are allowed unless you restrict them in the call permissions list. Company call permissions can be viewed and edited by their company administrators to modify existing call permissions but cannot add new ones. The company can only use telephony providers for which it is already authorized. Here is how you can edit the company call permissions:
  • From the Companies  page, click the lock icon under the Perm column corresponding to the company for which you want to change the permissions. A window opens displaying the list of existing call permissions.
  • Edit the existing call permissions to add or modify call restrictions.
    • To authorize the company to make a specific type of call, simply check the box corresponding to the call type you want to authorize.
    • To block the company from making a specific type of call, simply uncheck the box corresponding to the call type you want to disallow.
  • Click Submit to save the changes, or Cancel to close the window without saving the changes.

Adding and Removing Service Packages to Companies

As the system administrator, you can view and edit the service packages of any company account to select which service packages the company can offer to its users. The company service packages are a subset of the system service packages which you can edit from service packages page. Go to Service Packages for details. Company service packages can be viewed and edited by their company administrators only to enable or disable packages. Company administrators cannot add new service packages that have not been already assigned to their company account by the system administrator. 

You can view and edit the service packages assigned to a company as follows:

  • From the Companies  view, by clicking on the Packages link of the selected company, or
    From the Company Profile view, by clicking on the Name of the selected company in the Companies view. Click the Default Packages button in the Company Profile to open the list of service packages assigned to the company account.

An Edit Packages window opens displaying the complete list of service packages on the system with a checkbox beside each service package already assigned to the company account.

  • Edit the service packages assigned to the company as follows:
    • To add a package to the company account, check the OK box of the package;
    • To remove a package from the company account, uncheck the OK box of the package;
  • Click Submit to save the new set of service packages assigned to the company or Cancel to close the window without changing the company packages.
The new set of service packages will apply to new and unused subscription keys of the selected company.

Removing Company Accounts

As a system administrator, you can remove company accounts from the Companies  view as follows:
  • Click the Remove link corresponding to the company you want to delete.
  • Click OK to confirm the removal of the company and its users from the system or Cancel to close the window without removing the company.

Assigning DIDs to Companies

As the system administrator, you are expected to provision DIDs for company accounts. It is the role of each company administrator to import or manually enter DIDs for its company use. If you are selling DIDs to company accounts, you may use text files to transfer these DIDs to company administrators who in turn will import them directly into their company account.  Go to Importing New DID Lists for more.

Assigning Subscription Keys to Companies?

Subscription keys provide licenses for individuals to subscribe and use selected Evatel service packages. Subscription keys are generated and customized by the System Administrator for each company account. Note that the number of subscription keys that can be generated is limited by the Evatel system license. It is the responsibility of company account administrators to customize and assign subscription keys to their employees. Each subscription key carries information about the set of service packages and billing method of its user. This section describes how System Administrators can assign and customize subscription keys to company accounts.

Adding and Removing Subscription Keys to Companies

As the system administrator, you can add Subscription Keys to a company account as follows:

  • From the Companies  view, click on on the Unused Keys link of the selected company.
    An Edit Number of Keys window opens displaying the number of unused Subscription Keys already assigned to the company account.
  • Increase or Decrease the new number unused keys in the company account.
  • Click Submit to save the changes or Cancel to close the window without changing the number of company keys.

Viewing the Subscription Keys Used by Companies

As the system administrator, you can view the Subscription Keys used by a company as follows:

  • From the Companies  view, click on on the Used Keys link of the selected company.
    A Subscription Keys window opens showing the list of subscription keys for the selected company in two sections: The Active Keys and the Unused Keys.
  • The Active Keys section displays the list of used keys with the name of their users, and the Unused Keys section shows the keys which are reserved for specific users or still available.
  • Click Cancel to exit without making changes.

Importing Companies
